How Kydo Club collects, uses and protects your information — in plain English.
Who we are
Kydo Club (“Kydo”, “we”, “us”) is a free app that helps parents and guardians in the UK plan and discover children's activities. Kydo is currently a non-commercial pilot.
Kydo Club is the data controller responsible for your personal data. You can contact us about anything in this policy, or about your data, at hello@kydoclub.com, and we'll respond within one month.
What we collect
You give us:
- Account details: your name, email address, phone number, and a password (stored only as a secure hash — we never see it).
- Your home area: the postcode you enter, which we convert to an approximate location so we can show activities near you.
- Children's details: the first name and age you add for each child, so we can help you plan. Please add only what's necessary.
- Your plans: the classes, camps, appointments and outings you save, and the providers you bookmark or hide.
- Communication preferences: whether you've opted in to optional updates by email, SMS or WhatsApp.
We collect automatically:
- Device location — only if you choose “Use my current location”. We use it once to find nearby activities and do not track you in the background.
- Basic technical and crash data to keep the app working (for example, error reports).
We do not run advertising, sell your data, or build marketing profiles.
Why we use it, and our lawful basis
- Running your account and the planner — to provide the service you asked for (lawful basis: contract).
- Showing activities near you — a core function of the app (contract / legitimate interests).
- Using your device location — to find nearby activities (consent; you can decline).
- Optional email, SMS or WhatsApp updates — to keep you informed (consent; opt-in, and you can withdraw any time).
- Keeping the app secure and working — fixing errors and preventing abuse (legitimate interests).
Children's data
Kydo is for parents and guardians — children do not have their own accounts. You provide your children's details as their parent or guardian, and you are responsible for the information you add. We ask for the minimum (first name and age). We do not use children's data for advertising, sale, or automated decisions with legal or similarly significant effects. We use limited child details and the preferences you provide to help plan and suggest activities. You can view, edit or delete it at any time in the app.
Who we share it with
We use a small number of trusted service providers (“processors”) who act only on our instructions under data-processing agreements. They fall into these categories:
- Hosting and database — stores your account and app data (in the EU).
- Email delivery — sends account emails such as verification links.
- Maps and place information — powers the activity listings.
- Crash and error reporting — limited technical data that helps us fix problems.
- App distribution — delivers the app and any notifications.
We do not sell your personal data. We only share it with the service providers above, the app and platform services that deliver Kydo, providers you ask us to contact on your behalf, or where the law requires it.
Where your data is stored
Your core data is stored in the European Union (Frankfurt), which the UK recognises as providing adequate protection. Some providers may process limited data outside the UK or EU (for example, the United States); where they do, it is covered by their data-processing agreements and appropriate safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses.
How long we keep it
We keep your data for as long as your account is active. If you delete your account (Profile → Delete account), we delete or anonymise your profile, your children's details and your plans from our active systems, except limited records we need to keep for security, legal, or operational reasons. Backups expire on our normal cycle. We may also delete accounts that have been inactive for a long period. Limited technical error logs are kept only briefly.
Your rights
Under UK GDPR you have the right to access your data, correct it, delete it, restrict or object to processing, and data portability. Where we rely on consent, you can withdraw it at any time (this does not affect processing already carried out).

If you are unhappy with how we handle your data, you can complain to the UK regulator, the Information Commissioner's Office (ICO) — ico.org.uk — or call 0303 123 1113. We'd appreciate the chance to help first.
